We
understand the cost of doing business today and in
many ways outsourcing is
ideal for cutting costs and reducing overhead. We are
a worldwide Corporate Meeting and Travel Management
Company who can handle your priorities at little or
no cost to you.
We have been involved in every aspect of the hospitality
industry for over 30 years with world-wide planning
and travel for corporations, associations and the film
industry. A dinner at Cannes, a board meeting with
little notice, a gift for that VIP client--you name
it, we're there for you!
CPU has also focused its success these last 16 years
on coordinating, creating and presenting meeting environments,
which reflect our clients' needs and visions. We present
all options on every aspect of the meeting and tradeshow
venue to you, allowing you to make the critical decisions.
We will negotiate everything,
giving you great value, while qualifying and guaranteeing
the vendor support.
We provide experienced, professionally
trained meeting and travel management staff who
are available 24 hours a day, 7 days a week by cell
phone, fax and e-mail. We also provide you with direct
pager 800 access worldwide to our Meeting Manager so
your changes, important requests and emergencies can
be responded to immediately.
Ideally, having your travelers complete our Traveler
Profiles will give us personal preferences for seating,
frequent flyer memberships and any special requests
they may have. We will store the data in our systems
so we will be able to access pertinent information
for future traveler requests from your employees. We
offer contracted savings up to 30 percentage off most
major carriers.
Traditionally, when we start a meeting project together, we
will take your initial directions for site of
the meeting, i.e., hotel location, 4- or 5-star facility,
number of attendees, date requests, budgeted dollars,
theme, production and program content, meeting space
needs, transportation of VIPs, and on- and off-site
venues. With those parameters defined, we will research
and pre-qualify two or three properties and provide
you with a working budget on the approximate end-costs
for each property. We are usually within 5 percentage
of the actual.
You will then select everything, and time permitting
in your schedule, do site inspections of the property
and other pertinent venues. We bid only pre-qualified
options and vendors with whom we have working
knowledge and history of their commitment of their
product. When we are implementing local "themed" events
such as employee picnics, holiday parties, fundraisers
or community events, we will pre-qualify those locations
as well. CPU will then implement your choices.
Our reimbursement comes
from the vendors and hotels. We negotiate our
wholesale prices, usually 20-30 percentage off all
pricing, then add back 10 percentage
as our service fee, and give our clients the
reduced negotiated costs (which includes our fee).
We then provide a pre-planning project manager and
an on-site coordinator to make sure every vendor does
exactly what was contracted for and to handle any unforeseen "Murphy's
Laws" incidents that might arise. Finally, we
analyze and qualify all the billings and the hotel
master to a fair and equitable conclusion for all,
again reporting to you before, during and after the
event for all direction. We are
facilitators.
We also offer on-line web link
registration and hotel confirmation for your
attendees with an automatic response back to let them
know their information has been received. We process
the credit card payments on-line as well, keeping all
numbers protected for secured transactions.
