The
following list of services are offered in part or as you
determine needed in the development and execution of your
program or meeting. We are user friendly, in that
our team will work diligently to compliment and support
your existing staff assigned to your projects, while providing
proven systems and processes to accomplish all of the inclusions
and actions needed to complete a seamless and professional
experience for your attendees. We will assist you in defining
and establishing the meeting design and objectives, in
order to meet and or exceed Management expectations and
goals within predetermined budget expectations.
- Destination/Venue and Site selection: to include all
arrangements, RFP communications and negotiation of all
requisite meeting space and sleeping room accommodations
as determined required at significantly reduced rates,
which are well below corporate rates opportunities.
- Meeting Space and Program Environment design: we will
confirm all elements and inclusions of the program allowing
for change and additions and will develop an RFP process
that will be describe your program's needs while presenting
the information in a format that best suites the needs
of the hotel and venue providers. This will provide
to you timely responses and great value in acquiring the
appropriate space and no chance of the venue needs not
matching the final program elements requested. WE then
provide highly experienced planners who will develop a
win/win balance of program design which results in cost
savings for your company, great venue meeting space and
a balanced program of content and timing.
- Food & Beverage: to encompass meal selections or
suggestions, negotiations on quantity/quality pricing and
presentation, service staff/ratio and attire, service,
gratuities. Appropriate full beverage selections for all
functions including wines and spirits.
- Audio Visual: to include pre-qualified and professionally
trained CPU/ AV staff, available from concept, thru pre
production planning meetings to completion on site throughout
the event. Offering negotiated wholesale pricing on equipment
and labor staff on site. WE include scheduling of all walk
thru and or rehearsals and professional direction and support
for all speakers and presentation needs.
- Transportation/Visas & Passports: We offer 24 and
7 worldwide group air travel support with our in-house
corporate and group travel division. We coordinate
and negotiate all fares on all projects. WE offer
reporting for all groups or air travel at no charge. WE
provide coordinating ground transportation as needed, utilizing
the detailed reports and manifests and will manage the
ground transfer process for all delegates and attendees. WE
provide exemplary VIP support services for those executives
requiring specific support and staffing needs throughout
the program. WE can manage it all cost effectively
and provide a seamless experience for your attendee from
home to their return. We offer worldwide support in the
acquisition of permits, visas or passports for all delegates.
- IT Support, Programming and Staff: Our in-house CPU
staff within our IT division offers secured registration
site, web page development, on site IT solutions and communication,
labs and equipment, satellite transmissions, and are working
hand in hand with our AV staff to facilitate all IT needs
your speakers require.
- Decor, Speakers and Entertainment: We provide a full
spectrum of proven speakers and support services worldwide,
and in all languages for all topics, at competitive pricing. We
have developed a network of Entertainment agents and contacts
for all budgets in support of your entertainment needs.
We own and or have a complete list of décor houses
and wholesalers, where we can design the environment to
best compliment your program and events while maintaining
strict budgetary cost control.
- Insurance, Shipping and Customs: to include worldwide
coordination for all Insurance needs, en-route or on site
for all types of meetings, trade shows or events. We will
negotiate a cost effective solution and provide secure
support with pre-qualified vendors in the acquisition of
liability and
Theft insurance coverage at the discretion of the corporation.
We provide shipping solutions to all destinations worldwide
and provide the customs and or permits required for all
shipments.
- Accounting, Budgeting and Financial management: offering
a complete reporting process in the development of projected
costs and Budgets which will provide to you less than a
5% differential at completion of program, given noted inclusions. WE
develop user friendly "active" spreadsheets, which allow
the customer to manipulate and change all elements as approved
and presented. WE offer these Estimated Budgeting
processes from concept to completion so you are aware and
have approved all elements of the program daily, thru the
planning process. WE complete the master billing to include
the line itemed spreadsheet so that all related costs are
posted easily and accurately. CPU completes the vendor
payment process and simplifies the documentation and information
into one easy format.
- Attendee, Guest and Spouse Tours and Events: we offer
complete destination management in-house thru our pre-qualified
tour directors and staffing worldwide in support of offsite
tours, activities or local events. We will develop registration
sites denoting all opportunities and related costs as applicable.
We negotiate and contract for all tours and other special
events
Connected with each meeting/event. We offer complete merchant
services for all forms of payment worldwide. We will acquire
city maps, hotel/tour & all information for attendee
distribution.
- Registration: Our IT division in collaboration with
your staff and the planning group will work together to
develop a site registration page for your program at nominal
cost to you. We can design, program and offer specialized
program web addresses to compliment your program and site
web page. We
can maintain all elements of the site, offer mass attendee
mailings, and follow up confirmations at greatly reduced
cost. We offer all styles of marketing, both bulk
mailing, printing and flyers, and or email process. WE
manage the information and disperse and respond as required
WE offer 800 numbers or direct line access to an informed
staff person who can guide your attendees thru their needs
and questions with pre developed scripts and information
approved by your company and planning representatives. WE
utilize email, fax and Postal/Express mail services. We
provide on site staffing as required to manage the registration
process.
- Marketing, Design, Signage & Publicity: we offer
a complete marketing team of professionals who will work
directly with your planning team in helping to develop
the marketing branding and look you will need for your
program. WE can support your mar/com group as well
and assist as needed. WE have a design team that
works with our IT and planning group to develop the needed
documents and stationery that will embellish all communication
tools throughout the process. Nominal costs if any for
the development and implementation. Only printing
and programming costs may be incurred. Program signage
can be developed and in many cases printed in house, to
save your program budget time and money. We develop the
signage list and can support your mar/com group as requested
on all elements as needed.
We can assist in scheduling publicity and press promotion
as requested.
- Gifts and Premiums: we provide an extensive selection
of proven manufacturers that will offer greatly discounted
pricing for all types of premiums, giveaways, or gifts.
Selecting the optimum gift for your attendee to further
support your brand, theme or experience is our mission
while maintaining a cost effective budgeted line item.
- Exhibit, Trade show and Booth design & support:
we will assist in all elements of design or procurement
of exhibit booths or materials related, trade show registration,
set up, shipping, drayage and decorating as needed. We
have pre-negotiated rates with many suppliers of trade
show support materials. We will negotiate and ensure compliance
for decorating and drayage, if applicable.
- Post Meeting Audit & Evaluations: we will provide
complete post meeting audits of all program elements and
expenses. We will develop both attendee evaluations
and our conference management evaluation formats to distribute
for our tool in the continuing improvement process. |
